web enquiries, email, social media and live chat facility have their place, but the telephone is still the preferred communication tool of choice for na you when it comes to business.

for some reason, phone calls in English are much more difficult than talking to people fave to face. May be it’s because you can’t read the person’s expression or gets cues about their meaning from their gesture.

or may be it’s because you’re already nervous before the call starts. Preparing in advance for a phone call in English is one of the best way to overcome these difficulties. Finally, don’t worry about asking people to repeat themselves or to speak more slowly when you’re on the phone in English.

with this in mind, here are a few tips on telephone conversation.

  1. Answer the call quickly
  2. Answering the phone’ with a smile on your face’
  3. Speak clearly and use professional language
  4. When taking a message check the information your are nothing.
  5. Even if you have no idea what they are talking about remain positive and professional by using’ let me find that out for you and come back to you’re rather then ‘I don’t know’ as it shoes interest and a willingness to help.

If possible give the caller an idea when they can expect a call back. Of your colleagues is in s meeting or out of the office for the afternoon explain it may be the following day that they response and check if some else can help them.

If you have to put people on hold make sure you ho back to update them every few seconds or so and remember to keep offering to have them called back.
